Creating a batch
Go to the Accounting tab on the top bar of your Service Titan.
From the Batch/Export Transactions screen, click the drop down menu for Select a Batch and click Create a new batch
Note: Once you name a batch, you cannot change it. The typical naming convention is “Type” “Date” “Your Initials”.
After you create your batch, check boxes will appear next to the invoices/payments. From here, you can select all or choose individual invoices.
All $0.00 invoice amounts can be exported because they will not arrive to your QB.
Once you have selected all appropriate invoices, click Batch Selected which appears underneath the title line of the invoice drop down menu (pictured below)
The selected invoices will now appear in the batched folder on the same screen.
At this point, the invoices (or payments) are just grouped together. Once batches are exported, items cannot be removed or edited so double check your batch at this point.
Posting a Batch
Click on the same drop down menu from earlier (it will now have your batch name displayed) and click on Post the Selected Batch
The status of your invoices will now show “Posted” instead of “Pending”.
Until an invoice is included in a posted batch and the associated job has a completed status, it will not be recognized as revenue in Service Titan and will not count towards royalty reporting.
All credit card payments accepted through Service Titan will be automatically batched but not automatically exported.
Exporting a Batch
On the same drop down menu from earlier, there will now be an option to Export To QuickBooks Online.
If your business unit has not been connected to QBO before, follow these next steps
After you click Export, there will be a pop-up menu that reads “Are you sure you want to export the active batch?” Click OK.
Another pop up will confirm that you want to connect the business unit. Click OK.
At this point, most people receive the error message that the browser has blocked the pop up window. In order to allow pop-ups, click the icon on the right side of your address bar ( pictured below), select “Always allow” and click Done.
Repeat the steps above to export the batch again, this time without getting blocked.
After clicking Export, a screen will pop-up that asks you to authorize sharing data between Service Titan and Intuit. Click Authorize.
Once the batch has successfully exported, you will see a notice at the top of your screen.
